- Financial information needed for owner accounting (bank details for ACH disbursement, tax ID for 1099-MISC)
- Tenant application data, screened through Equifax for credit, eviction history, and background checks
- Communication history through phone, email, and portal messages
- Website analytics (page views, referral sources) collected via standard cookies
2. How We Use Your Information
Information collected is used to:
- Deliver property management services — rent collection, maintenance coordination, tenant screening, financial reporting, and lease enforcement
- Communicate with you about your property, your tenants, and your account
- Comply with North Carolina real estate licensing, fair housing, and tax-reporting requirements
- Process tenant applications consistently against our published screening criteria (635 minimum credit, 55% maximum DTI, zero tolerance for prior evictions)
- Send relevant updates about your property, the Triangle rental market, and our services
3. How We Share Your Information
We do not sell your personal information. We share information only as needed to deliver services or comply with the law:
- Service providers — Buildium for accounting and portal hosting, Equifax for tenant screening, Obligo for deposit-free leasing, vetted local contractors for maintenance work
- Government and courts — when required for NC summary ejectment filings, tax reporting (1099-MISC), or compliance with North Carolina Real Estate Commission rules
- Professional advisors — attorneys and accountants we engage on your behalf or our own
4. Tenant Screening and Fair Housing
Tenant applications are processed under the federal Fair Housing Act and North Carolina state additions. Screening criteria are applied consistently to every applicant — race, color, national origin, religion, sex, familial status, disability, and other protected classes are never factors in our decisions. Denied applicants receive a written rationale tied to a stated criterion and have the right to dispute the underlying credit data with Equifax directly.
5. Data Security
Sensitive financial and tenant data is stored in Buildium and Equifax systems that maintain industry-standard encryption and access controls. Our office systems are password-protected and access is limited to personnel who need it to perform their work.
6. Your Rights
You have the right to:
- Request a copy of the personal information we hold about you
- Correct inaccurate information
- Request deletion of information not required for active management or legal compliance (some records, including tax filings and tenant-screening rationale, must be retained for required periods under NC law)
- Opt out of non-essential marketing communications at any time by replying "unsubscribe" to any email

8. Children's Privacy
